Case Study - Document Tracking System (Web-based)

Client Requirement: Our client was using a series of spreadsheets to manage their document control process. This process involved the logging of new document revisions, allocating the revision for information or for comment to a large number of staff members, collating comments, issuing comment reports and archiving the document as and when an updated revision was created. With over 20,000 document revisions and with the requirement to issue and track the comments of up to 60 consultants for each document, the process was becoming unmanageable using the spreadsheet system. Mistakes were becoming more widespread and the process was becoming long winded.

Solution: RSK Business Solutions Ltd designed and implemented a web based document tracking system which is currently hosted on our client?s intranet (the system can just as easily be hosted as a web based solution on our web server). Being web based, document details can be viewed remotely from any location with internet access. The data is live, held in one place and backed up on a regular basis. Reports can be run at any time based on the latest data.

The system contains two levels of security access, general user and admin. Access is controlled via encrypted password login with user and document details fully controlled by the admin user. An admin module allows the system to be fully configurable by the admin users. A powerful search engine which includes a user defined keyword search allows any document to be found quickly and with ease.

Competency Assessment Database

Client requirement: Our client was using a paper and spreadsheet-based process for assessment of competence of around 300 of its third party suppliers, managing agents and contractors. The system utilised several health and safety competence assessment forms, which were completed by the third party. On return, their competence was assessed and rated. Each form received a rating on which the third party’s competence may be judged. Should the third party fail the assessment, the original form was re-issued. There was also a requirement by our client to review the assessments on an annual basis. The current system was becoming difficult to manage and interrogate with any confidence.

Solution: RSK Project Services Ltd designed and implemented a web-based competency assessment database system that is hosted on our web server. Being web based, information can be entered remotely from any location with internet access. The data is live, held in one place and backed up on a regular basis. Reports can be run at any time based on the latest data. The competency assessment database also contains an easily identifiable traffic light ranking system based on the third party rating, which can be overwritten if required by the admin user. The system contains differing levels of security access and access is controlled via encrypted password login with supplier details and assessment scores fully controlled via the admin user. A powerful search engine allows third party companies or individual assessment to be found and interrogated within seconds.
